Safe Harbor Equipment

Deductions, tracking & reconciliation

Safe Harbor equipment charges are deducted from your payout when the equipment meets the deduction criteria. Transactions appear at the organization level and include the equipment serial number, which you can use to identify and reconcile each unit.

Deductions & Remittances

When are equipment charges deducted?
Beginning October 15, Safe Harbor equipment deductions occur at the earlier of these two events:

1.

Install Submission

An Install Submission identifying the serial number may trigger the charge before the 14-day point.

2.

14 days after delivery

If the serial number has not been identified in an Install Submission by then, the 14-day rule triggers the charge.

Previously, deductions were applied at Install Approval and commissioning.

Why does the charge appear at the organization level?

Equipment may become eligible for a deduction before it is linked to a customer account, so all equipment charges now appear at the organization level. Use the serial number on the transaction to match the charge to your equipment records.

Will an account ID be associated?

No. Equipment charges no longer carry a FINCO account ID. No FINCO will be associated with the

charges on your remittances any longer, regardless of when the charge is triggered. All equipment

charges are now at the organization level instead of the FINCO level.

What this means for your remittance?

The FINCO account ID will no longer appear on your remittance, which is where you are used to seeing it. Use the serial number on the transaction to identify the unit, and keep the serial to account link in your own tracking records.

Equipment Reconciliation

Track every unit: From possession through installation and monitoring

How do I reconcile a charge?

1

Locate the Safe Harbor equipment transaction on your payout remittance.

2

Find the serial number listed with the transaction.

3

Match the serial number to your equipment tracking records.

4

Review the receive date, current location, installation status and the FINCO account ID in your own records.

5

Contact your Relationship Manager if you cannot identify the unit or believe the charge is incorrect.

What information should I track?

Your organization is responsible for tracking each Safe Harbor unit from the time you take possession through installation and monitoring. Maintain a record of:

Equipment

Serial number and equipment SKU or unit type

Receipt & location

Date received from the distributor and current equipment location

Account & address

FINCO account ID once assigned and installation address

Installation & monitoring

Installation date and monitoring status

Location matters

Palmetto may request the location of a Safe Harbor unit at any time, and your organization must be able to provide it.
FINCO account IDs no longer appear on remittances. Maintain the connection between the serial number and FINCO account ID in your own tracking records.

Missing Serial Numbers

When a unit cannot be matched: Use the serial number to trace the equipment from receipt through installation.

What should I do?

Check your records

Review inventory, receipt, warehouse, transfer and installation records to locate the unit and identify the associated project.

Contact your Local Distribution Branch.

If you need to confirm when the unit was received, your Local Distribution Branch is the preferred point of contact. Provide the serial number and transaction details.

Contact your Relationship Manager.

Your RM can coordinate questions about the equipment transaction. Supply Chain may also be able to confirm the date received and the distribution branch; for other receipt questions, work directly with your Local Distribution Branch.

Who is responsible for the equipment?

Your organization is responsible for maintaining traceability and knowing the location of each unit after receipt. An unmatched serial number alone does not establish that a unit is lost; investigate your records and contact your Local Distribution Branch and your RM as needed.

What if a unit is lost or used on an ineligible project?

If a unit is lost, installed on a non-LightReach project, or used on a storage-only project, your organization will be charged the full unit cost plus a fee, as outlined in your signed Safe Harbor addendum.

Installation & Monitoring

Complete the connection: Confirm that installed equipment is visible and reporting.

What should I check after installation?

1

Enter a valid monitoring ID in the Install package and select Check Access.

2

Select Safe Harbor as the unit type under PV System.

3

Grant LightReach monitoring access through the OEM portal.

4

Leave the system on for at least 30 minutes after installation so it can report to the OEM monitoring portal.

5

Confirm the unit is visible in the OEM portal and the Safe Harbor badge appears.
